It is almost never one big theft. It is forty small gaps.

Shop owners who find themselves short every evening usually assume someone is stealing. Sometimes someone is. Far more often the money went to five ordinary things nobody wrote down: a POS fee, a sale settled the next morning, a refund given in cash, an entry written twice, and a transfer that came in under a name nobody recognised.

None of those are visible from a notebook, because a notebook only holds one side of the story. You cannot reconcile with a record that has nothing to be reconciled against.

What it catches

Named exceptions, not a number that's wrong.

"You are short ₦4,200" is not useful. "Sale at 14:22 for ₦2,800 never settled, and ₦1,400 of POS fees were never booked" is something you can act on before closing.

Do I have to stop using my notebook?
No. Photograph the page at the end of the day and Reconlly reads the entries. A notebook is a perfectly good record — the problem was never the book, it was that there was nothing to check it against. Plenty of our shops have written in the same book for fifteen years and will keep doing so.
Will this tell me if my staff are stealing?
It will tell you which transactions do not reconcile, at what time, on which till. Sometimes that points at a person. Much more often it points at a POS fee or a settlement that landed the next morning, and we would rather you found that out before confronting anyone. We deliberately do not label anything as theft — that judgement is yours and it should be made on more than a variance line.
Can Reconlly take money from my account?
No. Account access is read-only, which is a technical restriction rather than a promise — the connection type we use does not carry payment permission at all. Subscription payments are a separate card or transfer authorisation that you control and can cancel independently.
My POS provider settles late. Does that break it?
That is one of the main things it exists for. Reconlly knows each provider's normal settlement window and holds a sale as pending rather than flagging it as missing. Only when a settlement passes the provider's own stated window does it become an exception — and at that point the money is genuinely owed to you and we generate the dispute reference.
What if I have more than one shop?
Each branch closes separately and you see a consolidated position across all of them. Branch managers can be given access to their own close without seeing the others, which is usually what shop owners want as soon as they have a second location.
Is my accountant going to accept this?
Most prefer it. The export is a proper transaction ledger with matched settlements, booked fees and a documented exception history, which is considerably more than a notebook gives them. Several of our shops were referred by their accountant rather than finding us themselves.
